What do the individual onboarding meetings entail in detail?

Contents of Classic Onboarding:

  • Kick-off Meeting (2 hours): During the kick-off meeting, we discuss the framework for our collaborative onboarding process. We clarify the project roles, provide you with an overview of the HubSpot portal, and go through your tasks for the technical setup. For this purpose, we prepare an onboarding project in your portal, which includes a checklist with all the tasks required for the HubSpot setup, along with a detailed guide for implementation. In addition, you can choose one of four different campaign processes that we will implement together in the next meetings. Towards the end of the meeting, we will provide you with an outlook on the upcoming meetings. Recommended Participants: HubSpot Project Team (Admins, Marketing, Sales & Service)
  • Admin Training Session (2 hours): This session is for future CRM administrators. In this meeting, you will learn how to build your CRM data structure, manage objects such as contacts, companies, and deals, and create custom properties. We will also cover GDPR settings, team and user management, and general CRM settings to ensure your CRM operates efficiently and securely. Recommended Participants: HubSpot Admins
  • Marketing Automation Training Session (Content & Conversion Assets) (2 hours): This joint training is designed to familiarize your marketing team with creating lead generation and lead nurturing processes. To achieve this, we will prepare a demo campaign in your portal and walk you through it step by step. The first training session will primarily focus on creating blog posts, landing pages, forms, call-to-actions, and marketing emails. Recommended Participants: Marketing Team
  • Marketing Automation Training Session (Workflows & Campaigns) (2 hours): In the second training session, we build upon the content covered in the first training. After all the assets are created, we will show you how to use Marketing Automation Workflows to nurture your leads effectively and guide them towards making a purchase decision. Additionally, you will learn how to measure your marketing performance using campaigns.

    Following this session, you will create the discussed demo campaign during a User Self-Training. The goal is to get you directly involved in using HubSpot so that you are well-equipped to develop your own campaigns later on. Recommended Participants: Marketing Team

  • Marketing Automation Demo Review & Reporting Session (2 hours): In this session, we will address any questions you may have regarding the User Self-Training. Additionally, we will delve into the topic of reporting. We will discuss standard reports and dashboards available in HubSpot, which offer valuable insights for your individual performance measurement. Furthermore, you will learn how to create custom reports. Recommended Participants: Marketing Team
  • Content Hub Training Session (2 hours): Want to see what the Content Hub can do for you? In this session we show you the use of landing pages and blog including A/ B testing, as well as the use of the content library. Additionally, you’ll learn about HubSpot’s use of SEO recommendation and the different ways to embed your HubSpot content.

  • Marketing Automation Best Practices Session (2 hours): Successful marketing is personalized, relevant, and contextual. With HubSpot, you have the tools to meet these requirements. In this session, we will showcase helpful best practices to engage your leads personally and provide them with relevant content throughout the buyer's journey. Recommended Participants: Marketing Team
  • Contact & Company Management Session (2 hours): In this session, we will delve into the entire customer journey. We will cover how to personalize views for your teams and customize your CRM fields to fit your specific needs. Additionally, we will explain how to leverage the lead object to systematically qualify and nurture potential customers. With the prospect tool, we will help you identify and acquire new leads. Furthermore, you will learn best practices for optimizing your sales funnel using lifecycle stages and lead status. Recommended Participants: Sales Admins/Management
  • Deal-Pipeline Management Session (2 hours): In this session, we will provide you with best practices for defining your Deal Pipeline and Properties. You will learn how to design Deal Views according to your requirements and how to ensure optimal data quality along your Sales process through fields and inputs. Additionally, we will show you how to efficiently work with product libraries and deals in HubSpot, as well as utilize Deal Workflows to reduce manual tasks in Sales and optimize their use for your Sales Teams. Recommended Participants: Sales Admin/Management
  • Sales Management & Forecasting Session (2 hours): In this session, we will demonstrate how to work with sales goals for your sales teams in HubSpot and how to use this information for your forecasting. To enable better coaching of your sales team, HubSpot offers a range of Sales Analytics, which we will introduce to you. Additionally, we will create Best Practice Sales Management Reports for you during the meeting. Recommended Participants: Sales Admins/Management
  • Ticket Management Session (2 hours): In this session, we will provide you with best practices for defining your ticket pipeline and properties. You will learn how to design ticket views/boards according to your requirements and how to ensure optimal data quality along your support process through fields and inputs. Recommended Participants: Service Admins
  • Feedback Surveys & Knowledge Base Session (2 hours): This meeting focuses on creating feedback surveys, ranging from surveys about service quality to customer satisfaction surveys. Additionally, you will learn how to utilize the HubSpot Knowledge Base to provide your customers with answers to frequently asked questions. Recommended Participants: Service Admins, Optional: Marketing Team
  • Service Automation & Reporting Session (2 hours): In this session, we will demonstrate how to work with Service Workflows in HubSpot for your service teams. To enable better coaching of your service team, HubSpot offers a range of Service Analytics, which we will introduce to you. Additionally, we will create Best Practice Service Management Reports for you during the meeting. Recommended Participants: Service Admins/Management
  • Sales & Service Professional User Training Session (2 hours): We will show your Sales & Service teams how to make the most out of HubSpot. This training will cover the usage of the Task Board, the implementation of Sales Documents, and the Meeting tool. Additionally, you will learn how to use Snippets, Templates, and Sequences, and how your teams can work efficiently with these tools. Recommended Participants: Sales/Service Admins, Sales/Service Users

Individual Consulting & Support (Classic Onboarding): As part of our meetings, we always allocate sufficient time for addressing your individual questions. If you have any questions outside of our scheduled meetings, feel free to use the free HubSpot Support for assistance. Simply click on the Help button located at the bottom right corner of your account. You can also contact us directly for any inquiries or requests. Please note that we will bill the time spent at the end of each month.

Additional Contents in Classic Plus Onboarding:

  • Individual Consulting & Support: In addition to the onboarding meetings described above, we are available to address your individual questions outside the scheduled sessions. Take advantage of this time for ad-hoc inquiries or Q&A sessions, where you can get answers to your specific questions related to the functionality of the HubSpot Service Hub. Moreover, you can also use this time to review your self-created Service Automation Workflows together with us.

Additional Information

The onboarding has the following limitations:

  • Meetings: All meetings are conducted via MS Teams (online conference).
  • Maximum meeting participants: Our experience has shown that onboarding meetings are more successful when the number of participants is limited. Therefore, we restrict all onboarding meetings to four participants. If, for specific reasons, more people are required, please discuss this with us in advance.
  • Onboarding duration: The onboarding process typically takes place within 3 months. However, if your day-to-day business requires a longer duration, we can extend the onboarding period up to 12 months.
  • Questions & Support: We are happy to assist you with your questions outside the defined onboarding framework. Please send your inquiries to service@brandreach.at. You will receive written responses from us with links to solution descriptions and instructions. Please note that the time spent will be billed at the end of the month.

  • Marketing Automation Strategy Coaching: If you require a marketing automation strategy for your company and need assistance in developing it, we are here to help.

  • Data Migration from Legacy Systems: If you have been storing your data in another CRM (e.g., Salesforce, MS Dynamics, Pipedrive, Zoho, etc.) for years and want to transfer it to the HubSpot CRM, we can assist you in planning and executing the migration.

  • CRM Setup and Configuration Support: During our onboarding, you will learn everything you need to set up your HubSpot CRM. However, sometimes there may be a lack of time or expertise to perform the setup on your own. In such cases, we are more than happy to handle the setup for you.

  • Interface Definition: For smooth functioning of marketing automation, all relevant information must converge centrally. If external systems play a role in this process, you may require an interface. We gladly assist you in defining the functional and technical requirements for the interface and can also handle the programming and ongoing operation if needed.
