Initial Analysis & Strategy Workshop
In the first step, it is important to understand the current set-up and your starting point. Most of our clients engage us before implementing HubSpot and require strategic consulting (Marketing & Sales Automation Strategy) and intensive tool training as the first step.
Other clients already have HubSpot in use but have restructured their teams and seek intensive tool training. Some prioritize the digitization of sales processes. Each client is unique with individual requirements, which we identify together to create the ideal setting.
#1 Preparations & Analysis
- Access & Analysis of Your Account: We require Super-Admin access to see and modify everything in your account. Subsequently, we examine your account, analyzing the state of used versus unused features, nomenclature, and much more.
- Briefing & Deriving Action Recommendations: We have designed a briefing (you may already be familiar with it from the Scoping Meeting) to gain an initial understanding of your goals and challenges. Our project team analyzes this briefing and derives concrete action recommendations from it.
If you are already using HubSpot, we will also review the following points:
- HubSpot Asset Analysis: If you utilize landing pages, blogs, or the entire HubSpot CMS, we will examine them to propose any optimizations (technical SEO, conversion elements, structure, etc.).
- HubSpot Set-up Review: We will assess whether the set-up has been completed comprehensively and correctly. Additionally, we'll look for any workflows with errors or settings that do not align with best practices. We will discuss the collected points in the upcoming Analyze & Strategy Workshop.
- Creation of Analysis Report: We will compile our findings and action recommendations into an analysis report, which we will discuss with you during the Analyze & Strategy Workshop.
If you are just introducing HubSpot, we will create a best practice set-up for onboarding & training based on the selected hubs and the prior discussions. We will then review this proposal with you during the Analyze & Strategy Workshop.
#2 Analysis & Strategy Workshop
- Introduction & Objectives: Typically, we begin with an introduction of the key individuals and their goals. Our Senior Consultant will conduct in-depth interviews to gain a genuine understanding. However, we must also warn you: We provide honest feedback. If we find something not very useful, we will let you know.
- HubSpot Usage: Next, we will delve into your actual experience and expertise with HubSpot. How well do you and your team truly know the platform? What is the organizational set-up (e.g., Marketing/Sales/Service Automation Manager, Administrator, etc.), and where do you see a need for more or less intensive training?
- Presentation of Our Recommendations: In the next step, we will present the results of our preparation and the derived action recommendations. We will discuss these with you and add accepted proposals to the agenda.
- Planning the First Sprint: The jointly defined topics will be prioritized, and work packages will be derived with assigned responsibilities and timelines. Any topics that didn't make it into immediate implementation will be placed in our project management tool's backlog to avoid forgetting about them in the future. The tasks planned for the next four weeks will also be created and marked.
#3 Meeting Follow-up
- Meeting Documentation: Memories can change, but documentation remains. Therefore, it is essential for us to record the decisions made during the meeting. Please review the documentation carefully and reach out to us if any corrections are needed.
- Project Planning: Typically, we generate a list of tasks during the meeting. Following the session, we go into detailed planning and estimation, providing you with a roadmap as part of the documentation.
